WhatsApp Business API for Companies: How It Works and How to Start

For many companies in Indonesia, WhatsApp is where customers already are. It starts with one phone and the WhatsApp Business app, and that works until several people need to answer the same number, messages get lost between shifts, or the business wants to send order updates automatically. At that point the WhatsApp Business Platform, usually called the WhatsApp Business API, is the official way to connect WhatsApp to your systems. It works differently from the app, and a few rules shape every design decision.

The 24-Hour Customer Service Window

This rule shapes everything else. When a customer messages your business, a 24-hour customer service window opens. Inside that window you can reply freely with normal text, images, and documents. Outside it, you can only start a conversation with a message template that Meta has approved beforehand. Every new message from the customer restarts the 24 hours. In practice, this means support conversations flow naturally, while proactive messages such as reminders and promotions must be planned as templates.

  • Utility templates cover transaction updates such as order confirmations, payment receipts, shipping status, and appointment reminders.
  • Authentication templates send one-time passwords for login or verification.
  • Marketing templates cover promotions, product announcements, and re-engagement messages, and usually cost the most.
  • Templates can contain variables such as the customer name or order number, and buttons for quick replies or links.
  • Meta reviews each template, and one that is misleading or miscategorised gets rejected or recategorised.

Pricing is set per message and differs by country and template category, and Meta has changed the model more than once, so check the current rate card before estimating costs. Replies to customers inside the service window are generally free, which makes good support conversations cheap to run.

Through Meta Directly or Through a Provider

You can use the Cloud API hosted by Meta directly, with your own application handling the messages, or go through a Business Solution Provider that adds a ready-made inbox, chatbot builder, broadcast tools, and local support. Going direct gives full control and avoids a provider fee, but you build the inbox and integrations yourself. A provider is faster to start with and suits teams that mainly need a shared inbox. Many companies start with a provider and build custom integrations on top of its API, or move to the Cloud API directly once their needs are clear.

Setting Up the Number and Account

  1. 1Prepare a Meta Business account and complete business verification with your company documents.
  2. 2Choose the phone number. A number currently used in the regular WhatsApp or WhatsApp Business app needs to be migrated, so plan for that and back up chat history first.

Connecting WhatsApp to Your Systems

The real value comes from integration. An order system can send a confirmation template when payment is received and a shipping update when the courier picks up the package. A support system can create a ticket from an incoming message and show the customer's order history to the agent. Handle the webhook like any payment webhook: verify it, respond quickly, process it in a background job, and store message IDs so retries do not create duplicate tickets. Track delivery and read statuses, and stop sending to numbers that repeatedly fail.

Adding a Chatbot

A chatbot on WhatsApp can answer common questions, check order status, and collect details before handing over to a person. An AI chatbot that uses your own documents through retrieval can answer a much wider range of questions than a menu-based bot. Keep a clear path to a human agent, show the customer when they are talking to a bot, and let the bot hand over the conversation with its context, so the customer does not have to repeat everything.

Avoid Unofficial WhatsApp Tools

Some tools automate WhatsApp by controlling WhatsApp Web or an emulated phone. They are cheap and quick to set up, but they break WhatsApp's terms, stop working when WhatsApp changes, and can get the number banned, which means losing the number your customers know. For anything the business depends on, use the official platform.

  • Only message customers who have agreed to receive WhatsApp messages from you, and record that consent.
  • Make it easy to opt out, and respect it across all your systems.
  • Watch the quality rating in the WhatsApp Manager. Many blocks or reports lower it and can limit how many messages you can send.
  • Send marketing messages sparingly and make them relevant, since they affect quality more than transaction updates do.

List the five messages your customers ask about most and the three notifications they would most like to receive. Those eight flows are usually enough for a first launch, and they show quickly whether the integration is worth expanding.
